Job Description
Second Act is downtown Chicago's only ABC accredited cancer recovery boutique providing post breast surgery and compression garments, wigs, hats, scarves and accessories for cancer patients and survivors.
 
Position Summary:
Second Act Cancer Recovery Boutique, located in Chicago’s Lincoln Park, is looking for an assistant with an empathetic personality. This person will oversee the retail operations and perform duties related to assisting in the overall care of our clients. These duties include but are not limited to answering the phone; booking appointments; taking client histories, including identifying insurance coverage; working with referring physicians to secure written medical orders; writing up the sales and packaging purchases, whether personally fitted items or retail purchases; ordering and receiving inventory, and performing other clerical duties. This is a small boutique and we need an individual who can multi-task and wear multiple hats. For the right person, this position offers the opportunity to grow with the business and become a critical member of the management team.
 
Essential Functions:
  • Function as receptionist, greeting everyone in a friendly and courteous manner.
  • Excellent communication/listening and customer service skills. Ability to make quick, accurate decisions on a daily basis. Ability to handle stressful situations.
  • Answer incoming phone calls and respond to questions, always keeping clients’ feelings and concerns top of mind. Route complex calls/questions to appropriate party.
  • Schedule and confirm appointments.
  • Maintain a clean and welcoming environment. Remove products from fitting rooms between appointments and make sure the rooms are ready for the next client.
  • An ability to execute retail sales functions and simple bookkeeping is required.
  • Collect co-payments and client balances, update client information - scanning, faxing, copying and filing.
  • Operate a personal computer and appropriate software packages. Computer skills required: intermediate level Microsoft Word, basic level Excel and Outlook and department specific software including Quickbooks Point-of-Sale.
  • Order, receive and maintain all inventory, retail off-the shelf and specialty items.
  • Notify clients when ordered items have been received and are ready for pickup. Package and send items to clients when pickup is not possible and notify them of upcoming deliveries.
  • Positive attitude that reflects pride and ownership and exceeds client expectations by achieving and maintaining leadership in quality service through communication and teamwork. acquiring required insurance information.
  • Exhibit an informed and professional attitude by being prompt, efficient and competent. Able to work independently. Work reflects dedication, knowledge, accuracy and consideration for privacy of clients served.
  • Acknowledge clients’ rights on confidentiality issues, maintain client confidentiality at all times and follow HIPAA guidelines and regulations.
  • Knowledge of Social Media, capable of posting and updating Instagram, Facebook and Twitter accounts and issuing email messaging via Constant Contact or similar resource, is a plus.
  • Fluency in Spanish, spoken and written, experience in a medical setting and familiarity with insurance billing and record keeping are a definite plus.
Qualifications:
  • Retail customer service (fashion preferred) 1 year
  • Office experience (medical preferred) 1 year
  • Must have excellent references from a former manager
  • You must be a friendly, empathetic, enthusiastic and positive team player.
  • Must have creative thinking and positive communication skills
  • The ability to multitask and wear multiple hats and handle interruptions while staying on point and not becoming flustered
  • English required; bilingual in English/ Spanish would be a plus.
  • High school degree or GED require. Associate’s or Bachelor’s degree a plus.

Job Type: Full-time
Pay: $18.00 per hour
Expected hours: 40 per week
